Signing in

How to get into the Office Hub and what you will see.

Login screen
  1. Log in

    Use the email and password your administrator gave you. You can change your password after signing in.

  2. Forgot your password?

    Click 'Forgot password' on the login screen, or ask your administrator to reset it for you.

  3. What you can see

    Your sidebar shows Home, Time Clock, PTO, Policies & Procedures, and this guide. You only ever see your own information.

Clocking in and out

Record your shift with one tap from the Time Clock page.

  1. Clock in

    Open Time Clock and press 'Clock in' when you start your shift. The page then shows your running time for the day.

  2. Breaks

    Use the break buttons to start and end an unpaid break so your hours stay accurate.

  3. Clock out

    Press 'Clock out' at the end of your shift. Your entry moves into your history below.

  4. You must be in the office

    Clocking in and out only works from the Milaca or Foley office network. You can still view your hours and request time off from anywhere.

  5. If you are salaried

    Salaried employees do not clock in or out — the buttons are not available to you. Your standard weekly hours are credited automatically, and approved PTO, Sick & Safe, or holiday hours are deducted from that week.

Good to know

  • •Punches within 15 minutes of your scheduled start or end time are recorded as your scheduled time. Arriving much earlier or staying much later is recorded as actually worked.
  • •Only an administrator can edit a punch. If something looks wrong, tell your administrator or note it on your payroll review.

Checking your hours

Review your recent entries and stored payroll summaries.

  1. Recent entries

    Your Time Clock page lists your punches with dates, in/out times, breaks, and daily totals.

  2. Summaries

    The Summaries tab keeps a copy of every finalized payroll summary so you can look back at any pay period.

Reviewing your payroll

At the end of each two-week pay period you confirm your hours.

  1. Open your review card

    After a pay period closes, a review card appears with your hours for those two weeks.

  2. Approve it

    If everything looks correct, click Approve. Your summary is saved to your Summaries tab.

  3. Request an adjustment

    If something is off — a missed punch, forgotten time-off request, wrong hours — describe it in the Employee Adjustment Notes box and submit it. Your administrator will review and respond.

  • •Be specific: include the date, the expected times, and what happened.

Your schedule

See your upcoming shifts and the whole team's week.

  1. My shifts

    The top card lists your shifts for the selected week with times, hours, location, and any note from your administrator.

  2. Team schedule

    The grid below shows everyone's shifts for the week so you know who is covering what. Your row is highlighted.

  3. What the colors mean

    Milaca shifts are blue, Foley shifts are green, and anyone off on PTO, Sick & Safe, or a holiday is highlighted in yellow. The legend under the grid explains it.

  4. Why your hours may look lower

    Shift hour totals subtract your unpaid lunch — 30 minutes on a shift of 8.5 hours or more, 60 minutes on a shift of 9 hours or more. So an 8am–5pm week shows as 40 hours.

  5. Move between weeks

    Use the arrows to look ahead or back, or click 'This week' to return. Print gives you a paper copy.

Good to know

  • •The schedule is view-only. If a shift looks wrong, contact your administrator.

Requesting time off

Submit PTO or Sick & Safe time and track your remaining balance.

  1. Check your balances

    The cards at the top show hours remaining for PTO, Sick & Safe, and Holiday, plus how much you have used.

  2. Submit a request

    Click 'Request time off', choose the category, pick your start and end dates, enter the number of hours, and add a short reason.

  3. Track the status

    Your requests are listed as Pending, Approved, or Denied. If a request is denied, the administrator's note appears with it.

  4. Cancel a request

    Pending requests can be canceled with the trash icon. Once approved, ask your administrator to change or remove it.

  5. Holidays

    You do not need to request holiday pay. Eligible employees are credited automatically when a holiday is recorded.

Policies & Procedures

Read office policies, download the documents you need, and acknowledge the ones that require your sign-off.

  1. Browse the library

    Every document your administrator has posted is listed with its category, version, and effective date so you always see the current copy.

  2. Find something specific

    Use the search box to search by name or description, or the category filter to narrow to the handbook, SOPs, safety, HIPAA, and so on.

  3. Open or download

    Click the download icon to open the document. The link is secure and only works for you.

  4. Acknowledge required policies

    Documents marked as requiring acknowledgement show an Acknowledge button. Read the document first, then click it — a green check and the date appear once recorded.

  5. Re-acknowledge new versions

    When a policy is updated to a new version, you may be asked to acknowledge it again. Review the changes before signing off.

Good to know

  • •You can view and download policies from anywhere, not just the office.
  • •Only administrators can upload or change documents. If something looks out of date, let your administrator know.

Getting help

What to do when something does not look right.

Anywhere
  1. Contact your administrator

    Missing punches, incorrect hours, balance questions, and login problems are all handled by your administrator.

  2. Use adjustment notes

    For anything affecting a pay period, the fastest path is an adjustment note on your payroll review so there is a written record.

Notifications

The bell in the top-right tells you when something needs your attention.

  1. Check the bell

    A number on the bell means you have unread notifications. Click it to see the list.

  2. What you will be notified about

    Your payroll summary is ready to review at the end of a pay period; your PTO, Sick & Safe, or Holiday request was approved or denied; your payroll adjustment request was answered; a new policy needs your acknowledgement.

  3. Open it

    Click the notification and you will be taken to the right page. It is marked read automatically.

  4. Tidy up

    Use 'Mark all read' to clear the badge, or hover a notification and click the X to dismiss it.

Good to know

  • •Dismissing a notification does not complete the task — you still need to approve your payroll summary or acknowledge the policy.

My checklists

New-hire and departure tasks assigned to you.

  1. See your tasks

    If your administrator started an onboarding (or offboarding) checklist for you, it appears here with every task and its due date.

  2. Check off what you finish

    Tasks labeled 'Employee' are yours — tick the box when you complete one, like acknowledging the handbook or finishing training. Tasks labeled 'Admin' are handled by the office and are shown for your information only.

  3. Watch due dates

    Overdue tasks are shown in red. The progress bar shows how much of your checklist is complete.
